MINUTES OF GENERAL MEETING HELD AT THE PITSEA LEISURE CENTRE, THE PLACE, PITSEA,SS13 3DU * ROOM 2 * TUESDAY 4TH.SEPT. 2018

                                           GENERAL MEETING

THE CHAIRMAN, TONY EALHAM, OPENED THE MEETING AT 7.30 P.M. AND THANKED EVERYONE FOR ATTENDING. SINCE THE LAST MEETING WE HAVE  LOST  BOB QUARTERMAN, RICKI COSTER AND GERALD HOPE. CHRIS BUNDY HAS ALSO PASSED AWAY, AN EX-ESSEX  AND E. HANNINGFIELD PLAYER. OUR THOUGHTS AND CONDOLENCES GO TO THEIR FAMILIES AND LOVED ONES AT THIS VERY SAD TIME.

I WOULD ALSO LIKE TO THANK ALAN AND TONY FOR THEIR HARD WORK RECENTLY. ALAN, LAST WEEK IN CONTACTING CLUBS TO REMIND THEM THAT THEY STILL HAVE NOT SENT IN THEIR FORMS AND PAYMENTS TO REGISTER FOR THE LEAGUE WITH THE DEADLINE FAST APPROACHING. I JUST CANNOT UNDERSTAND HOW CLUBS RECEIVE  THE REGISTRATION PACKS IN MAY AND STILL STRUGGLE TO MEET THE 31ST. AUGUST DEADLINE. ALAN WILL HAVE MORE TO SAY ON THIS IN HIS REPORT.

ALSO TO TONY WHO HAD JUST 3 DAYS IN PREPARING FIXTURE LISTS AND DOCUMENTATION TO GIVE OUT TONIGHT. IN MY VIEW, THIS IS NOT ENEOGH TIME THEREFORE AT THE AGM A PROPOSAL WILL BE GOING IN THAT THE REGISTRATION DEADLINE DATE TO ENTER THE LEAGUE BE BROUGHT FORWARD TO 1ST. AUGUST. THIS WILL GIVE TONY A FULL MONTH TO PREPARE THE FIXTURES.

THE LEAGUE AND COUNTY PRESENTATION NIGHT WAS A COMPLETE SUCCESS WITH THE LEAGUE GETTING 50% OF THE PROFITS. A CHEQUE HAS BEEN RECEIVED FROM COUNTY FOR £149.50.  MORE ON THIS IN THE TREASURER’S REPORT.

CO-OPTING OF AUDITORS:  TONY EALHAM APOLOGISED TO LINDA AND KEITH WILLINGHAM FOR NOT GIVING THEM THE CHANCE TO BE RE-ELECTED AS AUDITORS AT THE LAST AGM. HOWEVER, AS THEY CAN ONLY BE ELECTED AT THE AGM THE COMMITTEE ARE CO-OPTING THEM UNTIL THE AGM 2019.

CORRESPONDENCE: NO CORRESPONDENCE RECEIVED

SECRETARY’S REPORT: LAST YEAR I REPORTED THAT MOST CLUB SECRETARIES HAD CO-OPERATED IN REGISTERING THEIR CLUBS BY THE DEADLINE OF 31ST. AUGUST BUT A MINORITY OF CLUBS STILL REQUIRE CONTINUAL ENCOURAGEMENT TO MEET SAID DEADLINES. THIS YEAR THAT IS STILL THE CASE, HOWEVER THE NUMBER OF CLUBS REQUIRING ‘’ENCOURAGEMENT’’ HAS INCREASED SUBSTANTIALLY. I WON’T NAME CLUBS BUT SOME OF THE REASONS GIVEN FOR NOT SENDING IN THE REQUIRED FORMS AND PAYMENTS BY THE DEADLINE ARE AS FOLLOWS:

‘’OUR TREASURER IS ON HOLIDAY’’

‘’I HAVEN’T GOT A PRINTER’’

‘’CAN’T YOU USE THE FORMS I SENT IN LAST YEAR AND JUST ALTER THE PLAYERS’’

‘’YOU KNOW WE ARE AN OUTDOOR CLUB AND MY PLAYERS ARE NOT CONTACTABLE UNTIL MID SEPT.’’

‘’OUR CLUB PAYS A LOT OF MONEY TO COUNTY AND LEAGUE—YOU ARE HARASSING ME’’

‘’I HAVEN’T BEEN SENT A FORM’’

‘’IT’S IN THE POST’’

I COULD GO ON BUT THESE RESPONSES ARE IN ADDITION TO OTHER ISSUES SUCH AS CHEQUES INCORRECTLY FILLED IN, RECEIVING COINS INSTEAD OF CHEQUES AND RECEIVING CHEQUES PLUS COINS.

ADDED TO ALL THIS, WE HAD THE ISSUES RAISED BY THE DATA PROTECTION FORMS. I AM STILL AWAITING SOME FORMS TO ENABLE ME TO UPDATE THE CONTACT LIST—THIS WILL BE GOING OUT IN DRAFT FORM THIS WEEK.

THEREFORE I GIVE THE COMMITTEE AND MEMBERS FAIR WARNING THAT IF I AM TO CONTINUE AS LEAGUE SECRETARY, NEXT YEAR I WILL DESPATCH ALL THE RELEVANT DOCUMENTATION IN GOOD TIME TO CLUB SECRETARIES AND THEN COLLATE THEIR RESPONSES.

WHAT I WILL NOT BE DOING IS ‘’ENCOURAGING’’ THOSE CLUBS WHO CHOOSE NOT TO RESPOND FOR WHATEVER REASON. BASICALLY, NO RESPONSE—NO LEAGUE MEMBERSHIP.

IF THE MAJORITY OF MEMBERS FEEL THIS IS NOT ACCEPTABLE, YOU WILL NEED TO APPOINT A NEW SECRETARY.

TREASURER’S REPORT: AS WE START THE NEW FINANCIAL YEAR I THINK IT WILL BE CLEARER IF I GIVE A BALANCE SHEET TO SHOW THE LEAGUE’S FINANCES ARE IN A VERY STRONG POSITION.

SO YOU CAN SEE WE HAVE LEAGUE AND MEMORIAL TROPHY MONIES IN ONLY UP TO 29/8/18 WITH A VERY NICE 50% OF THE PRESENTATION NIGHT PROFIT. HOWEVER, THE TROPHIES WERE MORE EXPENSIVE THIS YEAR. ALL IN ALL, OUR PROFIT BALANCE AS OF TODAY IS VERY HEALTHY AT £4577.53.

FIXTURE SEC. REPORT: GOOD EVENING, WELCOME TO A NEW SEASON OF SEESMBL. SADLY WE HAVE LOST 4 TEAMS THIS SUMMER:

ATTE BOWER B, WOODLAND BEECH, WEST HANNINGFIELD ( SHOWS HOW MUCH THEY RELIED ON THE ‘’OLD MOANER’’ ) AND HADLEIGH ACERS ( WHO FAILED TO REGISTER DESPITE REPEATED REQUESTS )

PLUS THE 2 TEAMS WE LOST LAST YEAR.

HOWEVER, WE WELCOME G.P. MURRAYFIELD TO OUR LEAGUE AND WISH THEM WELL.

WE NOW TOTAL 51 TEAMS, JUST A PITY THOSE TEAMS TALKING OF ENTERING EXTRA TEAMS NEVER FOLLOWED IT THROUGH.

WE NOW HAVE 9 TEAMS IN DIVISIONS 1,2 AND 3 AND 8 TEAMS IN 4,5 AND 6. (NO DIVISION 7 )

WHERE POSSIBLE, I HAVE TRIED TO HELP TEAMS OUT LIKE OCBC WHO CANNOT PLAY HOME GAMES ON THE FIRST WEDNESDAY OF EACH MONTH, WILLOWS PARK WHO CANNOT PLAY AT HOME IN DECEMBER AND VARIOUS OUTDOOR CLUBS THAT HAVE REQUESTED A LATER START.

IT IS MOST IMPORTANT YOUR CLUB OFFICIALS READ THESE DOCUMENTS.

ANY QUERIES ON YOUR FIXTURES PLEASE LET ME KNOW AS SOON AS POSSIBLE. I HAVE FOUND THAT JUST 3 DAYS TO PREPARE THESE FIXTURES AND TO CHECK FOR MISTAKES IS NOT ENEOGH TIME SO I HOPE THE DEADLINE IS CHANGED AT THE NEXT AGM. SO, I AM GETTING MY APOLOGIES IN FIRST.

YOUR PLAYERS MAY NOT PLAY IN YOUR TEAM UNLESS THEY HAVE PAID THEIR DUES TO THE SECRETARY AT LEAST 24 HOURS BEFORE PLAY.

ANYONE NOT SURE OF HOW TO FILL IN SCORE CARDS ETC. OR HOW TO SEND RESULTS VIA A PHONE OR INTERNET PLEASE LET ME KNOW AND I WILL ADVISE.

THE DRAW TOOK PLACE FOR THE MEMORIAL TROPHY ( 43 ENTRIES—ANOTHER GOOD YEAR ) –THE RESULT OF WHICH WILL BE POSTED ON THE LEAGUE’S WEBSITE.  THE PRELIMINARY ROUND TO BE COMPLETED BY 13/1/19 AND THE FIRST ROUND BY 16/3/19. THE CHAIRMAN ADDED THAT THE FIRST ROUND CAN BE PLAYED AT ANYTIME IF THE TEAMS INVOLVED ARE AGREEABLE—THEY DO NOT HAVE TO WAIT UNTIL AFTER 13/1/19. VENUE FOR THIS YEAR’S MEMORIAL TROPHY FINALS DAY WILL ONCE AGAIN TAKE PLACE AT THE ISLANDS VENUE ( CORNELIUS  VERMUYDEN SCHOOL, CANVEY ISLAND )–  SUNDAY 7TH. APRIL 2019.

TERRY MEAD ( WARREN HEATH ) ASKED IF PAYMENTS TO THE LEAGUE COULD BE MADE BY BANK TRANSFER. THE SECRETARY REPLIED THAT HE WOULD PREFER BANK TRANSFERS AS PAYMENT IS INSTANT AND PROVIDE  A CLEAR AUDIT TRAIL.

TONY EALHAM’S PARENTS HAVE NOW MOVED TO FRINTON-ON-SEA , UNFORTUNATELY  THIS MEANS THAT MUM WILL NOT BE ABLE TO MAKE ANY MEETINGS. SYLVIE WILL, HOWEVER , CONTINUE AS TREASURER UNTIL THE AGM WHERE SHE WILL STAND DOWN. IF ANYONE IS INTERESTED IN BECOMING THE NEW TREASURER NEXT YEAR COULD THEY PLEASE LET ME KNOW.

TONY EALHAM STATED THAT FALCON WILL NOT BE SUPPLYING FOOD AFTER LEAGUE GAMES THIS SEASON, JUST TEA/COFFEE AND CAKES. HE UNDERSTOOD THAT E.TILBURY ARE  ALSO CONSIDERING THIS CHANGE.

BOB TAYLOR ( WILLOWS PARK ) STATED THAT THEY ARE ALSO NOT SUPPLYING FOOD. WILLOWS HAVE TO VACATE THE SCHOOL HALL BY 10 P.M. AND SOMETIMES THERE IS NOT ENEOGH TIME AFTER THE GAME TO OFFER FOOD. IT IS NOT AN OPTION FOR WILLOWS TO START EARLIER.

DENISE MATTHEWS ( WICKFORD ) STATED THAT THEY HAVE BEEN OFFERING JUST TEA/COFFEE AND BISCUITS FOR SOME YEARS NOW AS THEY PLAY LEAGUE ON A SUNDAY MORNING . 

CHAIRMAN’S CLOSING REMARKS: THANKS AGAIN FOR ATTENDING TONIGHT AND HOPE YOU ALL HAVE AN ENJOYABLE AND SUCCESSFUL SEASON—AND TO REMIND CLUBS TO READ THE LEAGUE RULES SO THEY ARE FULLY AWARE OF THEM AND ANY PENALTIES THAT MAYBE INCURRED. ALSO MAKE SURE YOUR PLAYERS ARE REGISTERED AND PAID FOR TO THE LEAGUE SECRETARY, ALAN HIGH, NOT TONY HAYES AT LEAST 24 HOURS BEFORE THE GAME COMMENCES. ( i.e. PLAYING THURSDAY NIGHT  AT 7.30, IS NO GOOD TRYING TO REGISTER THEM AT 8.00 P.M. WEDNESDAY NIGHT )  HAVE A SAFE JOURNEY HOME.
